How to Choose An Event Staffing Agency

The people working your event shape how guests experience your brand. From the first greeting to the final interaction, their preparation, professionalism, and responsiveness matter.

Choosing an event staffing agency starts with understanding how it recruits, prepares, and supports the people representing your business. Whether you’re planning a conference, trade show, product launch, or nationwide activation, here’s what to ask before making your decision.

Start With Your Event’s Staffing Needs

Before requesting an estimate, outline the work your team will perform. Registration, product demonstrations, guest assistance, and setup each require different skills and levels of responsibility.

Share your event dates, location, expected attendance, schedule, and staffing duties. Include any requirements for handling inventory, transporting assets, collecting leads, or submitting reports.

Clear responsibilities help an agency recommend the right people and prepare an estimate that reflects the full scope.

What Should You Look for in an Event Staffing Agency?

Relevant Experience

Ask about events similar to yours. An agency experienced in conferences may approach staffing differently from one focused on retail sampling or experiential marketing.

Request examples and client references. Find out what the agency managed, how it prepared its staff, and how it handled unexpected changes.

For events across multiple cities, ask about recruiting in each market—including smaller or remote locations where talent may be less readily available.

A Thoughtful Staff Selection Process

A large database is useful, but the selection process matters just as much.

Ask how the agency evaluates experience, communication skills, reliability, and suitability for each assignment. Confirm what screening it performs and whether you’ll receive staff profiles before the event.

Strong brand ambassadors should feel comfortable approaching guests, explaining your message, and adapting to the pace of a live event. Registration and guest services staff should be organized, attentive, and confident helping attendees.

Clear Employment and Insurance Responsibilities

Ask who employs and pays the staff, who handles onboarding, and what insurance coverage applies to the assignment.

Request current insurance documentation and clarify any venue requirements before the event. If staff will drive, transport materials, or handle equipment, discuss those duties specifically.

The agreement should clearly explain each party’s responsibilities, including payroll, timekeeping, and any applicable overtime charges.

Preparation Before Event Day

Even experienced staff need a clear briefing.

Confirm who will provide training and what it covers. Staff should understand your brand, their duties, dress requirements, arrival instructions, and the person to contact with questions.

For product demonstrations or lead collection, provide approved talking points and instructions for any technology they’ll use. A shared understanding before doors open helps the team work more consistently.

Responsive Management and Onsite Support

Ask who your primary contact will be before and during the event. Will an agency representative be available during early arrivals, evening shifts, or weekend activations?

For larger teams or assignments involving logistics, consider a team lead. This person can coordinate check-in, assignments, breaks, and communication with your event manager.

Also ask how the agency responds to absences or late arrivals. Understand what replacement support or backup staffing is available, how quickly it can be arranged, and any associated cost.

A Complete, Understandable Estimate

Compare estimates using the same responsibilities and schedule.

Confirm whether pricing includes training, setup, breakdown, management, parking, travel, and reporting. Ask about minimum shift lengths, overtime, cancellation terms, and changes to the schedule.

A lower hourly rate may come with additional charges or a different level of support. Reviewing the complete scope makes the comparison more useful.

Event Staffing Agency or General Temp Agency?

A general temp agency may be suitable for straightforward temporary assignments. A specialist event staffing agency may be a better fit when staff need to engage attendees, communicate a brand message, demonstrate products, or support a complex live experience.

For experiential marketing, the interaction is part of the campaign. The team needs to understand both the operational duties and the experience you want guests to have.

Choose the provider whose experience and management approach match the assignment.

Questions to Ask Before Booking

Before confirming your staffing partner, ask:

  • Have you supported events similar to ours?
  • How do you select and screen staff for each assignment?
  • Who employs the staff and handles payroll?
  • What insurance documentation can you provide?
  • Who manages training and event-day communication?
  • What happens if someone cannot attend?
  • What does the estimate include, and what could cost extra?
  • How are attendance, hours, and event reports documented?

The answers should give you a clear picture of how your event will be supported.

Plan Your Staffing Early

Booking early gives your agency more time to recruit, confirm availability, and prepare the team. This is especially helpful for busy event dates, specialized assignments, and programs across multiple markets.

Build arrival time, briefings, breaks, and setup or breakdown into your schedule. Our live event staffing plan offers another starting point for organizing coverage.

The Comic-Con Specialists. NOT the subcontractors.

WE LIVE, BREATH AND WORK ON COMIC CON ALL YEAR – Our HQ is in the heart of San Diego! SDCC isn’t a trade show. It’s a five-day takeover of downtown San Diego!

Your booth on the show floor is one piece. The rest plays out across the Gaslamp Quarter, Petco Park, Children’s Park, hotel takeovers, and pop-up activations that pull badges away from the convention center for hours at a time.

That’s where staffing breaks down for agencies flying in from out of town. The talent doesn’t know the venues. They don’t know which Gaslamp blocks get shut down. They don’t know how to move a costumed mascot from a hotel suite to a Petco activation without melting them.

Three Pro-Tips to Ensure Your Comic-Con Event is Memorable

Below we’ve listed three pro-tips to ensure your Comic-Con event is the most memorable of 2022. Let’s dive in.

How to Find a Reliable Side Hustle

*Hint: It’s Called the Gig Economy!*

Side hustles… We’ve all heard of them! In fact, during the COVID-19 pandemic, it seems like more people than ever were kick-starting their own side hustles.

Whether you’re driving for a ride-share service, selling handmade trinkets on Etsy, or freelance blogging for extra cash, the side hustle era seems stronger than ever.

So, what’s keeping you from joining the movement? It’s time to find your side hustle. Here’s how to find a reliable side hustle (*cough cough* it’s called the gig economy!)

What is the Gig Economy?

The gig economy is defined as “a free market system in which temporary positions are common and organizations hire independent workers for short-term commitments.”

The word “gig” is slang for a job that lasts a designated period and was previously used by musicians to define a performance engagement.

Why Work in the Gig Economy?

But why would you want to work in the gig economy? Let’s share a couple of reasons below.

#1: Flexibility

Traditional jobs require individuals to work a set schedule. The gig economy, however, allows you to work when YOU want.

In the gig economy, you can set your own schedule and work as much or as little as you like. For example, at 360x Events & Promotions, you can decide to accept or decline working an event when it becomes available.

#2: Generate Additional Income

Need to earn extra cash? The gig economy is a great way to supplement existing income on your terms.

#3: Networking Opportunities

At 360x Events & Promotions, we staff some of the most exciting events in the industry. These events—including large-scale conferences, conventions, trade shows, and more—provide our workers with the opportunity to network with attendees.

Joining the gig economy is a great way to enhance your personal and professional bubble.

Plus, our events are fun—and you might even walk away with free products! (*cough cough* some of our team members from a recent event just walked away with free Fabletics attire!)

How to Find a Reliable Side Hustle

It’s easy… Join our team at 360x Events & Promotions! We’re always looking for new talent.

Whether you’re a college student, a part-time worker with time on your hands, or a parent who wants to make extra cash on the weekends, we need sophisticated, professional, fun people to join our talent pool.

How to Create an Unforgettable Experiential Marketing Experience at Comic-Con 2026

COMIC-CON IS BACK! Comic-Con 2026 is going to be an all-out no-holds-barred experience this year—and it’s just around the corner.

San Diego Comic-Con (SDCC) is the crown jewel of pop culture events — drawing over 130,000 attendees, hundreds of brands, and global media coverage to downtown San Diego every July.

For brands, it’s one of the most competitive activation environments on the calendar. The Gaslamp Quarter turns into a battleground of mascots, pop-ups, immersive installations, and IP takeovers, all fighting for the same attendee attention.

Standing out takes more than a clever idea. It takes planning, on-the-ground experience, and a team that knows how SDCC actually operates — from permit logistics in the Gaslamp to staffing strategies that keep your activation running smoothly across all four days.

That’s where we come in. With 25+ years of staffing experience and a network of 20,000+ vetted brand ambassadors, mascot performers, and event professionals, 360x has helped brands bring some of the most memorable activations Comic-Con has ever seen.

Best Practices for Live Performers

So, you’re a live performer who has booked an event—congrats! (Hopefully, you got the gig with our help at 360x Events and Promotions). Nevertheless, whether you’re new to the event scene or a performing pro, it’s always helpful to get some tips before the big day. Here, we’ll list our best practices for live performers.

Check them out below!

Pre-Show Rituals

Most every performer has some sort of pre-show ritual. Depending on your performance (maybe you’ve been hired as a costumed character, a full-blown singer or dancer, the list goes on), this might be a mixture of vocal warm-ups, reciting lines, meditation, and even stretching.

Our favorite pre-show ritual is Ryan and Sharpay’s vocal warm-up from High School Musical… It’s a classic!

Regardless of what your pre-show ritual looks like, the important thing is that it works for YOU.

Stay Hydrated

Hydration, hydration, hydration… We cannot stress this one enough. As a live performer, it’s essential to have a bottle(s) of water on hand during your performance.

This is especially true for performers donning costume characters—boy, can those get stuffy! Plus, chances are, as a live performer, you might encounter some harsh stage lighting, which won’t help your case.

In addition to plain old water, we recommend getting some extra electrolytes in with a packet of Liquid I.V. or a bottle of Pedialyte, maybe even some salt tablets.

The last thing we want is a costumed character like SpongeBob or Wonder Woman passing out from heat exhaustion!

Mistakes Happen!

Remember, every performer has made a mistake—even some of the world’s biggest stars like Ozzy Osbourne, Pink, and The Foo Fighters (their lead singer Dave Grohl fell off the stage and broke his leg during a show!)

Anyway, an important part of being a performer is knowing that mistakes are bound to happen. That’s showbusiness baby! Sometimes it might be on your end (maybe you break character or forget the words to a song or your line); or, perhaps it’s out of your control (like technical difficulties).

Whatever the case may be, don’t panic. Stay positive and keep going. Your audience will admire you all the more for it.

Items to Keep on Hand

When heading to your performance, you should always have a few essentials on hand.

  • Food (Easy snacks that are easy to transport!)
  • Ice packs (especially if you know it’s going to be a hot day)
  • First aid kit
  • Again, lots of water

A Final Word

Well, there you have it. Some of our best practices for you live performers. Interested in booking your next performance gig? Join the 360x team of talent. We’ll send you to the best events with the right support and professional team to schedule you!

Brand Ambassador, Promotional Model, vs. Spokesmodel

It’s the age-old question… OK, well not age-old but still a good question!

You’re hosting an event. Do you need a brand ambassador, a promotional model, or a spokesmodel? Let’s help you figure it out by defining each below.

What is a Brand Ambassador?

In short, a brand ambassador is an individual hired by a company to raise brand awareness and spread brand positivity.

What Does a Brand Ambassador DO?

The number one goal for a brand ambassador is to create a fun, memorable experience for consumers. This can be achieved both on and offline. Over the years, however, social media has become an integral part of a brand ambassador’s role.

Some roles and responsibilities that a brand ambassador might be faced with can include:

  • Engaging consumers, exciting them about the mission, and elevating the brand message
  • Sparking word-of-mouth about the brand
  • Instilling brand education
  • Donning branded uniforms or costumes to drive brand awareness
  • Conducting product demos
  • Distributing marketing materials

Interested in learning more? Read our article “What Does It Mean to be a Brand Ambassador?” for more information.

What is a Promotional Model?

A promotional model is hired by a business to draw in an audience at high-traffic live events. These individuals are experts in face-to-face marketing, also known as live marketing.

You will find promotional models working at trade shows, conventions, promotional events, corporate events, and even sporting events, concerts, and festivals!

What Does a Promotional Model DO?

After grabbing a prospect or consumer’s attention, it is a promotional model’s job to:

  • Increase product or service awareness
  • Provide product or service information
  • Serve as an extension of the brand, and
  • Create a lasting, positive impression

What is a Spokesmodel?

Last but certainly not least, we have spokesmodels! What is a spokesmodel? Similar to a spokesperson, who is defined as “a person who speaks as the representative of a group or organization,” a spokesmodel helps reinforce the image a brand is trying to create.

By definition, a spokesmodel is “an attractive or otherwise appealing person who is hired to speak on behalf of a company or product.” This might be for print, video, magazine, or television commercials.

What Does a Spokesmodel DO?

Typically, a spokesmodel will work product demonstrations, launch parties, and other public relations events to confirm their endorsement in public.

Having a spokesmodel for your brand can help:

  • Increase brand credibility
  • Bolster awareness
  • Catch prospective attention, and even
  • Rejuvenate your brand

If you’re hosting an upcoming event and need to hire any one of the above talent, get in touch with our team at 360x Events & Promotions today!
